Best AI receptionist for HVAC companies
HVAC call volume follows the weather. A slow spring month and the first heat wave can look like two different businesses. The right AI receptionist answers every call during the spike, gets no-heat and no-cool emergencies to a person, and doesn't hand you a shock bill at the end of the month.
Prices checked October 27, 2026. Vendors change pricing without notice, and taxes, phone-number fees and add-ons aren't included. Confirm on the vendor's page before you sign up.
The short answer
- Predictable bill through peak season: NextPhone. $199/month flat, unlimited inbound calls.
- Lowest cost if most callers are different people: Goodcall. It bills per unique caller, not per minute or call.
- Cheapest in a quiet month, with transfers and booking: Upfirst. Every plan includes warm transfers and scheduling.
- Spanish on every call and a big minute bucket: Rosie Scale ($149, 1,000 minutes).
These picks are based on each vendor's published plans and features. We haven't run hands-on test calls yet. See our methodology.
What HVAC callers need
- No heat or no cooling. Urgency depends on who's in the home and the outdoor temperature. Your receptionist should ask about infants, elderly occupants or medical needs, and route those calls to a person.
- Tune-ups and maintenance. Easy to book directly on a calendar.
- Replacement quotes. High-value leads. Capture system age, home size and a good time for an in-home estimate.
- Service-agreement members. If members get priority, the receptionist should ask and flag them.
- Safety calls. Carbon monoxide alarms or a gas smell: tell the caller to leave the home and call 911 or the gas utility first. Write this into the instructions yourself.
Can it answer several calls at once?
During a spike, people call at the same time. A single receptionist line that gives busy signals defeats the purpose. Several vendors say they handle this:
- Rosie: "Handles multiple calls simultaneously" on all plans (Rosie pricing).
- NextPhone: "Handles multiple calls at once" (NextPhone pricing).
- Allo's AI Receptionist add-on: "Picks up several calls at the same time" (Allo pricing).
- Dialzara: every plan includes "unlimited simultaneous calls" (Dialzara).
We didn't find a statement on Upfirst's or Goodcall's pricing pages, so ask them before peak season.
Quiet month vs peak month
The number that matters for HVAC is what a peak month costs. Our math at list price, using an average call of 4 minutes and assuming every caller is a different person:
- Quiet month: 80 calls (320 minutes)
- Peak month: 400 calls (1,600 minutes)
| Service | Quiet month (cheapest plan) | Peak month (cheapest plan) | Peak month if you stay on the quiet-month plan |
|---|---|---|---|
| NextPhone | $199.00 (Pro) | $199.00 (Pro) | $199.00 |
| Goodcall | $79.00 (Starter) | $129.00 (Growth) | $316.00 (Starter + 300 callers at $0.79) |
| Upfirst | $59.95 (Premium) | $234.95 (Pro + 100 calls at $0.75) | $369.95 (Premium + 310 calls at $1.00) |
| Rosie | $149.00 (Scale) | $299.00 (Growth, 2,000 min) | Can't estimate: overage rate not published |
| My AI Front Desk | $119.00 | $439.00 | $439.00 (one plan; $0.25 per extra minute after the credit pool) |
| Dialzara | $144.00 (Pro + 100 min) | $559.00 (Elite + 600 min) | $720.00 (Pro + 1,380 min at $0.45) |
Two takeaways. First, a flat rate only wins when your busiest months are busy enough. Second, on metered plans, moving up a tier before the rush usually costs less than paying overage. Upfirst says you can upgrade or downgrade anytime (Upfirst pricing FAQ); check how quickly a plan change takes effect with any vendor.
Also check what happens when you run out. Dialzara says that if your balance hits zero, callers go straight to voicemail unless you've turned on auto-recharge or bought extra minutes (Dialzara pricing FAQ). That's the worst possible moment for voicemail.

How to choose
- Find your peak month. Look back at last July or January. Count the calls you'd want answered and the average length.
- Price the peak, not the average. Compare a flat plan against the right metered tier for that month, plus what the quiet months cost.
- Confirm concurrent calls. Ask how many calls it can answer at the same time, and get the answer in writing.
- Check the out-of-minutes behavior. Overage, voicemail, or a hard stop? You want overage or auto-reload during peak season.
- Make sure booking is on your plan. Direct calendar booking is on every Upfirst plan and on Rosie from Scale up. Dialzara's calendar sync starts on Pro.
- Set priority rules. Vulnerable occupants and service-agreement members get transferred or flagged. Everyone else gets booked.
- Prepare a high-volume greeting. Something like "We're seeing heavy call volume due to the heat" sets expectations. Ask how quickly you can change it.
FAQ
What's the cheapest AI receptionist for an HVAC company? In a quiet month of about 80 calls, our list-price math puts Upfirst Premium at $59.95 and Goodcall Starter at $79. In a 400-call peak month, Goodcall Growth ($129) and NextPhone ($199) come out lowest.
Is a flat-rate plan worth it? If your peak months would push a metered plan past $199, NextPhone's flat price can save money and removes billing surprises. In slow months you'll pay more than you would on a metered plan.
Can it book tune-ups directly on my calendar? Upfirst books into Google, Outlook, Calendly, Acuity, Square and others on every plan. NextPhone books into Google and Outlook calendars and booking tools like Calendly and Acuity. Rosie adds direct booking on Scale.
Does it work with ServiceTitan or Housecall Pro? We didn't see native integrations for field-service software on the pricing pages we checked. Most services connect through Zapier. Ask the vendor directly.
What if callers want a human? NextPhone says callers who want a person are transferred on the spot (NextPhone FAQ). With any service, set a transfer rule and a fallback, like a text to you if nobody answers.
